Outpatient Office Coordinator Provide administrative support to our Outpatient Programs for adults, families and youth. Reports to: Program Director for Outpatient Services Supervisory Responsibilities: None Hours: 40 per week Primary duties include: Client Related: · Provide receptionist duties including scheduling and greeting clients; checking insurance and collecting client fees, pulling client charts. · Assist with maintaining client charts including filing notes, performing administrative audits to ensure adherence to regulations. · Generate and track PAs (prior approvals). · Ability to interface with clinicians and set boundaries with clients. Administrative and Office Support: · General clerical duties –copying, typing, faxing, management of office machinery and supplies. · Database management, entry, and record keeping. · Provide technical support to staff as needed, in coordination with computer consultant. · Liaison to the business office. · Able to respond to requests for information and follow-up with callers regarding requests for information · Coordinate with outside vendors including facility maintenance vendors and IT support vendors. · Provide administrative support to two program directors. Qualifications: - Minimum high school diploma or GED, plus at least four years in an administrative position.
- Solid problem solving skills and the ability to follow-through
- Detail-oriented, organized, comfortable juggling multiple tasks, able to work independently.
- Able to handle and maintain confidential information
- Previous human service experience
- Solid experience with standard office software including Word, Excel, and basic database systems
- Ability to relate well to both adults and youth.
